This Refund Policy describes how SingleStackOps LLC (“SingleStack,” “we,” “us,” or “our”) handles refund requests for the SingleStack platform, subscription tiers, usage-based fees, and any related products or services.
By subscribing to SingleStack, you agree to this Refund Policy along with our Terms of Service.
1. General Policy
SingleStack operates on a subscription model with usage-based fees for certain services. Because the Service delivers ongoing access to AI employees, compute resources, data storage, and integrations from the moment you activate, refunds are handled case-by-case with the principles below.
2. 14-Day Initial Trial Period
New tenants may request a full refund of their first subscription charge within 14 calendar days of initial signup, provided:
- The refund request is submitted within 14 days of the first charge
- No abuse, fraud, or material violation of the Terms of Service has occurred
- Usage-based fees (AI compute, ad spend pass-through, third-party API fees, video/audio rendering, etc.) are non-refundable regardless of trial period
To request an initial-trial refund, contact support@singlestackops.com with the subject line “Refund Request — Initial Trial” and include your tenant ID.
3. Subscription Refunds After the Trial
After the 14-day initial trial, subscription fees are generally non-refundable once a billing cycle has started. However, we review refund requests case-by-case in the following circumstances:
3.1 Service Unavailability
If the Service is materially unavailable for more than 24 continuous hours in a billing cycle due to issues within our reasonable control (not including third-party provider outages, scheduled maintenance, or force majeure events), you may request a pro-rated credit or refund for the affected time.
3.2 Duplicate or Erroneous Charges
If you are charged in error (duplicate billing, incorrect amount, charge after confirmed cancellation), contact support@singlestackops.com within 60 days. We will reverse erroneous charges promptly once verified.
3.3 Accidental Annual Renewal
If you were auto-renewed on an annual plan and did not intend to renew, contact us within 14 days of the renewal charge. We will pro-rate the usage and refund the unused portion of the renewal, less any usage-based fees consumed during that period.
4. Usage-Based Fees (Non-Refundable)
The following usage-based fees are non-refundable once incurred:
- AI compute costs (LLM API calls to Anthropic, Google, OpenAI)
- Image generation fees (Nano Banana, Flux, DALL-E, etc.)
- Video rendering fees (Remotion, LTX2, cloud GPU usage on Modal/RunPod)
- Voice synthesis fees (ElevenLabs, Qwen-TTS)
- Transcription fees (ASR via third-party providers)
- Ad spend pass-through (amounts charged by Meta, Google, LinkedIn, TikTok on your behalf)
- Stripe processing fees for payments processed through your tenant
- SMS fees (Twilio or equivalent)
- Third-party API fees passed through (DataForSEO, Firecrawl, etc.)
- Domain registration, DNS, or hosting fees paid to third parties
These fees cover actual costs we pay to third-party providers and cannot be recovered once incurred.
5. Cancellation (No Auto-Refund)
You may cancel your subscription at any time through your account settings. Cancellation:
- Takes effect at the end of your current billing period
- Does NOT automatically trigger a refund for the current period
- Stops future auto-renewals
- Preserves your access until the period ends
- Initiates data retention countdown per the Privacy Policy
6. Disputes and Chargebacks
We ask that you contact policy@singlestackops.com for billing disputes, or support@singlestackops.com for general billing questions, before initiating a chargeback with your payment provider. Most billing issues can be resolved quickly and amicably.
If you initiate a chargeback without first contacting us:
- Your account may be suspended or terminated immediately
- Any pending or unearned affiliate commissions associated with your tenant may be voided
- Re-enabling the account (if permitted) may require payment of the disputed amount, chargeback fees, and a reinstatement review
7. Affiliate Program Refund Impact
When a member is referred via the SingleStack affiliate program (Tier 1 Community or Tier 2 SingleStack) and that member's subscription is refunded or charged back:
- Any pending commissions tied to that referral are voided
- Any paid commissions tied to the refunded transaction are clawed back from future commissions owed to the affiliate
- Affiliates who repeatedly refer members who refund or charge back may have their affiliate status reviewed or revoked
A commission hold period of 7–14 days (aligned with the chargeback window) applies to all affiliate payouts to reduce the risk of clawbacks.
8. How to Request a Refund
To request a refund:
- Email support@singlestackops.com with subject line “Refund Request”
- Include your tenant ID, registered email, and date of the charge
- Describe the reason for the request
- If applicable, include screenshots or documentation
We will respond within the support SLA for your tier (see Support Policy).
9. Refund Processing Time
Approved refunds are processed via the original payment method:
- Stripe (credit/debit card): 5–10 business days
- PayPal: 3–5 business days
- Bank transfer / ACH: 5–15 business days
Timing may vary based on your bank's processing policies. We cannot refund to a different payment method than the one originally charged.
10. Exceptions
We reserve the right to deny refund requests in cases of:
- Requests submitted after the relevant refund window (14 days for trial, 60 days for erroneous charges)
- Accounts terminated for Terms of Service violations
- Fraudulent, deceptive, or abusive activity
- Extensive use of the Service during the billing period in question (e.g., “used everything then asked for refund”)
- Usage-based fees already paid to third-party providers
- Refund requests that would violate applicable anti-money-laundering, fraud, or banking regulations
Nothing in this Refund Policy waives your mandatory statutory rights under applicable consumer protection laws in your jurisdiction.
11. Changes to This Policy
We may update this Refund Policy from time to time. Material changes will be communicated via email and in-platform notifications. The “Last Updated” date reflects the latest revision.
